Terms of Service

The main rules for using StoreSync across the public website and app.

Summary: These terms apply to organisation customers, account owners, admins, managers, staff users and website users. StoreSync is provided by OJR Software LTD, trading as StoreSync.

1. Who these terms apply to

These Terms of Service are between OJR Software LTD, trading as StoreSync (“StoreSync”, “we”, “us” or “our”), and the person, business or organisation using StoreSync (“you” or “your”).

If you create or manage an organisation account, you confirm that you have authority to accept these terms for that organisation. If you are a staff user, employee, worker or contractor invited by an organisation, these terms apply to your personal use of your StoreSync account.

2. Business and staff-user use

StoreSync is designed for business and organisational use. Organisation customers use StoreSync to manage day-to-day staff operations. Staff users access StoreSync through their employer or organisation to view or manage work-related information, depending on the permissions set by that organisation.

Staff users should contact their employer or organisation first about workplace matters such as shifts, clock records, time off, payslips, pay, employment status, tax deductions, holiday entitlement or employment rights. StoreSync provides software tools and does not make those employment decisions.

3. StoreSync modules

StoreSync may include modules for rotas, clocking in and out, timesheets, time off, payslips, staff records, emergency contacts, sites, groups, permissions, support and notifications. Available features may depend on the selected plan, add-ons, configuration and release stage.

We may add, improve, change, replace, suspend or remove features where reasonably necessary, including for security, legal, technical, operational or product-development reasons.

4. Accounts and security

You must provide accurate account information and keep login details secure. Accounts must not be shared. Organisation customers are responsible for choosing suitable account owners and administrators, assigning permissions correctly, removing leavers and ensuring staff users are authorised to access the relevant organisation data.

We may suspend, restrict or close access if we reasonably believe an account is being misused, creates a security risk, breaches these terms, has overdue payment, or exposes StoreSync, customers or staff users to legal or operational risk.

5. Organisation customer responsibilities

Organisation customers are responsible for the accuracy, legality and completeness of the information they enter into StoreSync, including staff records, employment details, emergency contacts, schedules, clock records, timesheets, time off, payslips, roles and permissions.

Organisation customers remain responsible for complying with employment law, payroll law, tax law, working-time rules, holiday rules, record-keeping duties and data-protection law. StoreSync helps organise information but does not replace professional advice or legal obligations.

6. Staff-user access after leaving an organisation

Where an organisation ends a staff user’s employment or organisation access, StoreSync may continue to provide that staff user with limited self-service access for up to 6 months after the recorded employment end date. This limited access is intended for the user’s own timesheets and payslips, alongside basic account/help access.

This is an access window, not a promise that all data is deleted after 6 months. The organisation may continue to retain records where required for payroll, employment, accounting, dispute, audit, legal or legitimate business reasons.

7. Subscriptions, payment method and renewal

Organisation customers sign up using a payment method. StoreSync subscriptions automatically continue and renew unless cancelled before renewal. The Subscription Terms explain the trial, payment method requirement, automatic renewal, cancellation, failed payments, add-ons, taxes and refunds.

If there is any conflict between these Terms of Service and the Subscription Terms on billing matters, the Subscription Terms take priority for those billing matters.

8. Payslips, timesheets and payroll disclaimer

StoreSync provides tools for uploading, storing, viewing and distributing payslip documents, and for reviewing timesheets and worked time. StoreSync does not operate payroll for you, calculate statutory deductions, verify payslip accuracy, decide employment status, calculate holiday pay or provide tax, HR, payroll or legal advice.

Organisation customers must check timesheets, clock records and payslip information before relying on them for payroll or employment decisions.

9. Customer data and licence to operate the service

Organisation customers retain ownership of the business data and content they upload to StoreSync. You grant us the rights needed to host, process, transmit, back up, secure, display and support that data so we can provide StoreSync.

You must not upload data you do not have authority to use, or use StoreSync to process personal data unlawfully.

10. Acceptable use

You must use StoreSync lawfully and responsibly. You must not misuse the service, bypass security, attempt unauthorised access, upload harmful code, scrape the service, harass users, unlawfully monitor staff, share accounts, bypass billing controls, or use StoreSync to build or support a competing product.

11. Website information and disclaimers

Information on the StoreSync website is provided for general information only. Pricing, plans, modules, add-ons and feature availability may change. The details shown during signup, checkout, in-app billing, or an agreed written order take priority over general marketing pages.

Website content, help content and support replies are not legal, HR, payroll, tax, accounting or employment advice.

12. Intellectual property

StoreSync, including the software, website, design, workflows, branding, logos, code, documentation and content, belongs to us or our licensors. You may use StoreSync only as allowed by these terms.

You must not copy, modify, resell, lease, reverse engineer, decompile or attempt to extract StoreSync source code except where the law allows this despite these terms.

13. Service availability

We aim to keep StoreSync available and reliable, but we do not guarantee uninterrupted or error-free access. Maintenance, updates, hosting issues, internet issues, third-party provider issues, cyber incidents, security work or events outside our reasonable control may affect access.

14. Third-party providers

StoreSync may use third-party providers for hosting, infrastructure, payment processing, email, analytics, security, support and communications. We are not responsible for third-party services outside our control, but we use reasonable care when selecting providers that support the service.

15. Changes to these terms

We may update these terms from time to time. Where changes are material, we will take reasonable steps to notify organisation customers or account owners. Continued use of StoreSync after the updated terms take effect means the updated terms apply.

16. Termination

You may stop using StoreSync and cancel your subscription in accordance with the Subscription Terms. We may suspend or terminate access if you breach these terms, fail to pay, misuse the service, create legal or security risk, or where we are required to do so by law.

17. Liability

Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any liability that cannot legally be excluded or limited.

Subject to that, StoreSync is not liable for loss of profit, revenue, business, goodwill, anticipated savings, indirect loss, consequential loss, customer data entry errors, incorrect permissions, payroll mistakes, employment decisions, tax errors, third-party provider failures, or failure by an organisation to keep its own required records.

Subject to the above, our total liability arising out of or relating to StoreSync is limited to the fees paid to us for the affected service in the 12 months before the event giving rise to the claim.

18. Governing law

These terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction, unless applicable law requires otherwise.
